The person requesting the scanning is Randy Heatley from Ag Extension. I called him a little while ago to follow up on my email and he said yes, they're ready to go ahead. They will have us continue to scan until they run out of money so we'll need to give them frequent updates on how many pages we've done and how much they've spent. The cost Michael quoted is 25 cents per page. He's hired a student named Ashley Reese to bring materials back and forth and answer questions. Her email is reeseash@msu.edu. Please contact her and ask her to bring over one box of material to start and we'll see how long it takes to work through it. Mention that you work with me because I'm pretty sure he only gave her my name. I told Randy we'd do four hours of scanning time per week on this. Elizabeth, do you have scanning specifications on this that you used to do the storage estimate? --Ruth Ann -----Original Message----- From: Jones, Ruth Ann Sent: Monday, July 21, 2003 10:13 AM To: 'Randy Heatley' (E-mail) Cc: Seadle, Michael; Blair Amy (E-mail) Subject: FW: FW: Scanning Test While discussing this with Michael over the weekend, he suggested that perhaps no inventory has been done on your collection, so you might not have info to share on the number of pieces and page count for the material you want scanned. If that's the case, let me suggest an alternative. We can allocate four hours per week of scanning time for this project from now until the end of summer term. At that point you and/or Ashley could evaluate how much of the collection remains and we'll determine whether we need to increase from four hours per week to finish, if possible, by your target date of October 1. How would that work? Her email to me simply said "I was hired by Mr. Heatley to do scanning for you. He asked me to send you an e-mail to just see what the specifics were for the project and what you would like me to be doing right now." To answer your question about whether we want the materials all at once or in batches, it would help if someone could tell *me* the specifics of the project, because I haven't received any information about it yet. In particular: --How much material are we scanning - how many separate items, and what's the approximate total page count? --Is the material already disbound or in loose pages for the sheet-fed scanner, or do I need to arrange disbinding as part of the production process? --Is this material that you or your staff need frequent access to, so that having it out of the office is going to be inconvenient? If so, I'll make sure we work with small batches that we can get back to you very quickly. If not, it would be easier for us to get batches that represent a few weeks' worth of work rather than a few days' worth. If you're not the right person for these questions, please tell me who I should contact. As soon as I have some info I will put together a production schedule and make arrangements with Ashley. We are assuming the 'brary will proceed as planned. She is not a contribution to the library other than she will be someone who can be contacted with questions, requests for new pubs and the recipient of the files. I asked her to contact you about how you wanted the publications to come over...all at once, small batches, e.t.c. Hope this helps.\ Randy
